The workflow is simple: a client requests a consult, your team confirms it and gathers basic info, the call happens, and if it's a fit, you move them into scheduling and intake. Here's how to run it cleanly.

Why offer a free consultation?

A short call lets both sides check for fit, which improves the odds the therapeutic relationship works and reduces early drop-off. It also gives anxious clients a low-stakes first step. Done well, it's good clinical practice and good business at the same time.

The workflow, step by step

1.  Request. Client submits a form or calls asking for a consult.

2.  Confirm & gather info. Your team confirms the appointment and collects basics — concerns, availability, and insurance details.

3.  Verify fit & benefits. Check insurance/eligibility and do a quick internal check for clinical fit.

4.  The consult call. A brief conversation to explore goals, answer questions, and sense the match.

5.  Route the outcome. If it's a fit, add them to a clinician's schedule and start intake. If not, send a warm referral.
