The Free Consultation Workflow for Therapy Practices
A free consultation call is one of the best ways to make sure a client and clinician are a good fit before the first session — but only if the process behind it is smooth. The workflow is simple: a client requests a consult, your team confirms it and gathers basic info, the call happens, and if it's a fit, you move them into scheduling and intake. Here's how to run it cleanly.
Why offer a free consultation?
A short call lets both sides check for fit, which improves the odds the therapeutic relationship works and reduces early drop-off. It also gives anxious clients a low-stakes first step. Done well, it's good clinical practice and good business at the same time.
The workflow, step by step
1. Request. Client submits a form or calls asking for a consult.
2. Confirm & gather info. Your team confirms the appointment and collects basics — concerns, availability, and insurance details.
3. Verify fit & benefits. Check insurance/eligibility and do a quick internal check for clinical fit.
4. The consult call. A brief conversation to explore goals, answer questions, and sense the match.
5. Route the outcome. If it's a fit, add them to a clinician's schedule and start intake. If not, send a warm referral.
Who does what
Clarify ownership so nothing falls through the cracks: often admin handles the request, confirmation, and benefits check, while the clinician runs the call. Writing down who owns each step is what turns a good idea into a repeatable system.
Handling a “not a fit” gracefully
Not every consult should become a client, and that's okay. A prompt, kind referral is part of ethical care — and people remember being treated well even when you weren't the right match. Keep a current referral list so this is easy for your team.
Frequently asked questions
How long should a free consult be?
Usually 15–20 minutes — long enough to sense fit and answer questions, short enough to stay sustainable for your team.
